The Professional Development Program of the University at Albany’s Rockefeller College seeks service-minded individuals who are committed to performing high-quality work to fill full-time Administrative Assistant II positions.  These positions provide administrative and logistical support to adult education and training programs and teams.

Duties include, but are not limited to: Performing administrative/secretarial functions and providing logistical support for designated education and training teams; Providing exceptional customer service; Corresponding with staff, trainees, project sponsors, and vendors; Proficiently using Microsoft Office; Preparing, proofreading, editing, and assembling training materials, correspondence, and reports in required document templates; Maintaining/updating databases and course registration systems; Preparing/processing purchase requisitions and travel reimbursements; Identifying, negotiating with, and executing work agreements with vendors; Arranging meetings/trainings and staff/trainee travel activities; Maintaining training and office calendars; and, other duties as assigned to fulfill contractual obligations.

Full-time position. Travel within New York State to assist at 2 to 3 conferences, meetings, or trainings, and some local travel is occasionally required.

 

Minimum Qualifications

  • High school diploma.
  • Four years office and general administrative support experience.
  • Proficiency with Microsoft Office (Word, Outlook, Excel, Access, Explorer, PowerPoint).
  • Excellent communication (interpersonal, written, and verbal), customer service, and telephone skills.
  • Applicants must address in their applications their abilities to work with a culturally diverse population.
  • Demonstrated ability to effectively manage numerous tasks, work under pressure, and maintain attention to detail.
  • Ability to work independently as well as part of a team.
  • Ability to lift and carry up to 40 lbs.
  • Travel within New York State to assist at 2 to 3 conferences, meetings, or trainings, and some local travel is occasionally required.

Preferred Qualifications:

  • Advanced proficiency with Microsoft Office products.
  • Experience working in an adult education and/or training setting.
  • Additional and progressively responsible work experience in the field of administrative support.
  • Post secondary education.
